How to track orders for your shop without a spreadsheet

Last Monday at my stall in Wandegeya I had ten WhatsApp orders and three people asking if their goods were ready. I had no clear list. I paid for extra stock I did not need.

Step one. Give every order a clear number

Use the date and three digits. Example 20260802 001. Write that number on WhatsApp messages, paper slips and on the customer receipt. When customers call ask for the order number.

• Capture the order. Note order number, customer name, phone, item, quantity and payment status.
• Update stock. Mark physical stock card or update the item in your Gulawo catalog.
• Confirm with customer. Send a short WhatsApp message with the order number and expected ready time.
• Mark stage. Use short tags like placed paid ready collected or cancelled on your paper list or in Gulawo.
• Collect payment. Match payment to the order number and note how the customer paid.
• Close the order. When the customer collects or you hand off the goods mark the order as completed.

How to match orders to stock without a spreadsheet

If you keep boxes or sacks of goods, attach a small stock card to each. Write the item name and current count. When an order is placed subtract the quantity and write the order number. Fixing common problems fast
